Payroll/HR Administrator

Culver City Volvo Cars-Mazda is now interviewing for a Payroll/HR Administrator. We are a family owned and operated New Car Dealership with Volvo and Mazda franchises. We are looking for a candidate with previous automotive dealership experience. MUST be familiar with CDK and ADP payroll system.

  • Reports directly to the controller
  • Monitor timesheets for overtime purposes
  • Calculate commissions
  • Calculate technician pay including rest periods
  • Responsible for Semi-Monthly pay cycles
  • Post payroll expense to general ledger
  • Onboard all new hires (Go over pay plans, benefits, keep track of employee roster, etc.)
  • Maintain and update employee files
  • Update organizational chart.
  • Responsible for notifying employees upon eligibility of benefits.
  • Submit and pay employee benefits
  • Responsibilities are subject to change as day to day task presents itself (I.E. Employment verification, answering employee's concerns, etc.)
  • Process Workers' Compensation Claims


  • A minimum of 2 years of experience working as a Payroll Administrator for an automotive dealership
  • Experience with Excel - [basic, intermediate, advanced] level

We are looking for an experienced individual who is capable of multi-tasking, speaking with customers, sales consultants and managers; while maintain basic cash receipt skills and basic data entry of customer contact information into our dealer management system.

The Receptionist is responsible for greeting customers as they enter the dealership. By presenting a professional appearance and a cordial, businesslike presence, this person becomes for the customer the strong, positive first impression of the dealership. The Receptionist projects this same presence on the phone when customers call the dealership. In addition, this person, because of a thorough understanding of the dealership, knows to whom to route incoming calls and is accurate in taking messages when calls cannot be routed to the appropriate person. In this role person keeps track of traffic flow within the dealership and documents where and to whom customers are referred.

We are looking for a personable, outgoing personality to greet customers in person and on the phone. You will be responsible for welcoming them to the store, gathering basic information such as name, whether they are here for sales or service and the vehicle in which they are interested.

You must be able to operate a multi-line phone system, maintain basic reports using Excel, be comfortable navigating a CRM system and be willing to operate as part of the team.

  • Presenting new and used vehicles to prospective customers in a friendly and professional manner by explaining characteristics, capabilities, and features.
  • Performing vehicle walk arounds and demonstration test drives with prospective customers while comparing and contrasting competitive models and explaining warranties and services.
  • Prospecting for new customers and customer referrals and maintain consistent rapport with previously sold customers. Handling customer email, phone and internet leads --- especially following through on commitments made to customers.
  • Working with Sales Managers in order to present purchase or lease options to prospective customers. Learning to overcome objections, asking for the sale, negotiating price, completing sales or purchase agreements and accurately explaining and offering warranties, services, and financing options.
  • Maintaining manufacturer customer satisfaction and training requirements. Continually learn about product updates, features, accessories, inventory and their benefits to the customer.
  • Establishing personal goals that are consistent with dealership standards of productivity, and devising a strategy to meet those goals.
  • Attending sales meetings and training sessions as required. Coordinating work with team members and management.
  • Making sure new and used vehicle display area is neat, clean and orderly.
  • Following all company policies and procedures. Demonstrating behaviors consistent with Culver City Mazda/Volvo values in all interactions with customers, employees and vendors.

JOB REQUIREMENTS: While no experience is necessary, an ideal candidate will be dependable, professional, and have a positive, can-do attitude. Other requirements include:

  • 18 years of age or older.
  •  At least 2 years of Automotive Sales experience preferred.
  • General familiarity with a variety of automobiles.
  • Valid driver's license and clean driving record.
